Because of the New Corona virus, a lot of companies around world have no choice but have stopped running the business for the moment until the virus ends up.
It can not be helped of course, but while it's be under lockdown, it might be better for us to learn some latest technologies for our future too.
Today, I would like to share with you about one of the hottest new technologies in Japan for recent years.
What is RPA ?
If you're interested in AI and deep-learning etc, you should perhaps have heard of this technology already.
RPA stands for " Robotic Process Automation ".
It's a concept that a robotic software application of PC handles some routine works (paper works ) automatically instead of white-collar workers.
It can effectively contribute to decrease lots of human easy mistakes and to reduce the costs dramatically, therefore this concept has begun known since around 2016 and lots of Japanese companies have started applying for this concept since 2017.

If you were familiar with automatic software fields, you would perhaps misunderstand it could be almost same with VBA ( Visual Basic for Applications), but actually it's not same.
Even though VBA can make some complex calculations and tasks such as running macro or creating various graphs on Excel automatically, compared to RPA, VBA can only work in Office applications like Excel, Word, Access etc.
However, on the other hands, RPA can conduct some routine tasks automatically together with some different applications, such as Office applications, mailers, CRM systems, browsers etc, if the applications have been installed in a same PC.
I'm showing you some cases (example ) as bellow,
< In the case of an accounting department >

The all sales members submit the transportation expense sheet (excel) to the accounting department on a monthly basis.
* the sheet shows all transportation expense informations, such as the date, the route, and the costs.

After receiving the excel sheets from all sales persons, the staff members of the accounting department visually need to confirm whether or not the all information are correct with checking the excel sheet and transportation fee checking website on internet browser one by one....
Also, the accounting staff members need to make another Excel file that shows all transportation costs of the all sales members every month.

If the staff found mistakes, they would need to make another list with URL ( transportation fee checking website ) and to report back to the sales member via e-mail.
I'm supposed, you can imagine how huge the times they usually waste....
However, if RPA was applied for the tasks, it would be changed as follows, , , ,
#1 :
After receiving the transportation expense sheet from each sales member, the accounting staff member just need to save the each file to a specified folder.
#2 :
In the time designed, RPA automatically go to the specified folder and open the excel file, and automatically open internet browser and type a specified URL to open the transportation fee checking website at the same time.
#3 :
Also, RPA automatically create a new Excel file, and confirm all transportation fee value one by one automatically.
If RPA found a mistake, it would copy the correct value on the website and paste it on the above Excel file with the URL as well.

And then, RPA automatically open a mailer, and make a message ( with a designed sentence, the above Excel file ) , and send each Excel file to all sales members automatically.
Of course, RPA has all e-mail address information, so it open a new message form and type a correct e-mail address automatically.
While RPA automatically runs the above tasks, all accounting members can conduct other important tasks.
( Maybe we can reduce the number of the staff members.... )
The point is that if you or your supporting staff members have some simple tasks which doesn't need any judgements to handle, RPA must be useful and helpful to reduce the labor's cost and lead-time dramatically.
The advantages of RPA are, , , ,
- RPA can work 24 hours 365 days.
- RPA conduct any designed tasks without any mistakes.
- RPA can be designed with various applications, like office applications, your own CRM system, and internet browser (google etc )
- We can make the software designs of the tasks easily and visually.
The disadvantages of RPA are, , , ,
- RPA can not correspond to any tasks that need to be judged.
- RPA can not correspond either to accidents or to exception task.
- RPA need to be updated (designed ) again if a layout of an application is changed, which is being used with RPA.
Because of the Corona virus? thanks to the virus? Japanese companies will begin to focus on how to improve their productivity more and more.
